Privacy Policy

This website sets no cookies and runs no analytics. This policy explains the little we do hold – what you send us when you get in touch – why we hold it, where it is processed, and how to have it removed.

1Who is responsible for your data

This policy covers this website and the advisory services described on it.

2What this website collects: nothing, until you ask for the calendar or the notes

This site sets no cookies. There is no analytics, no tracking pixel, no advertising tag and no social media script. Nothing is stored in your browser as you read, and there is nothing for you to consent to or dismiss.

The fonts are served from this domain rather than from a font provider.

The first deliberate exception is the booking calendar. On the contact page, nothing is requested from Cal.com until you press “Show available times”. Press it and the calendar loads from Cal.com, which will then set its own cookies and see your IP address; what you enter to book – name, email, and anything you write – goes to Cal.com and to us. If you never press it, Cal.com never learns you were here. The email route below the calendar involves no third party at all.

The second is the Field Notes form. While you read, nothing loads from anywhere else: it is a plain form on this page, with no script and no widget behind it. Only when you press the button are your email address and the language of the page sent to Brevo, our mailing provider, which also sees your IP address at that moment. You then get one email asking you to confirm; if you do not confirm, the address is added to no list. Every email afterwards carries a one-click unsubscribe. If you never use the form, Brevo never learns you were here.

Two things happen without being asked. The photographs on the Field Notes are currently loaded from Unsplash's servers, so your IP address is visible to Unsplash when a Field Note is opened. And, like any website, the technical infrastructure serving these pages processes the IP address and request data needed to deliver them – see section 5.

3What we collect when you get in touch

When you email or call us, or engage us, we hold what you give us: your name, your email address and telephone number, your company, and the content of the correspondence. During an engagement we hold the business information you share with us for the purpose of that engagement.

We do not build profiles and we do not enrich your data from other sources. Writing to us does not put you on the Field Notes list: that list is opt-in only, it is described in section 2, and it is the only mailing we send.

4Why we process it, and on what basis

We process personal data only for these purposes, each with its basis under Article 6 of the GDPR:

  • to answer an enquiry and prepare a proposal – our legitimate interest in responding to someone who has approached us, and steps taken at your request before entering a contract;
  • to perform an engagement – performance of the contract;
  • to invoice, keep books and meet our accounting and tax obligations – legal obligation;
  • to establish, exercise or defend a legal claim – our legitimate interest;
  • to send you the Field Notes, if you have asked for them – your consent, given by confirming your address and withdrawable from any of those emails.

Apart from the Field Notes you have asked for, we do not process personal data for marketing, and we do not make automated decisions or profile anyone.

5Where this site is hosted, and where data is processed

This website is hosted on Cloudflare Pages and delivered through Cloudflare's global network. Cloudflare processes the technical data required to serve a page – IP address, request time, the page requested, browser and device type – and acts as our processor for that.

We do not specify where that processing happens. A content delivery network serves each request from whichever location it judges appropriate at that moment, and that location may be inside or outside the European Economic Area. We do not use, and do not guarantee, any regional restriction on it. Where personal data is transferred outside the EEA in this way, the transfer takes place under the European Commission's standard contractual clauses, which form part of Cloudflare's data processing terms.

If this is material to you – and for some regulated counterparties it is – tell us before an engagement begins and we will agree in writing where engagement material is held.

Email is a separate matter. Our correspondence runs on Microsoft 365 on the lidipartners.com domain, not through this website.

6Who else sees your data

We do not sell, rent or trade personal data, ever. There is no advertising relationship of any kind attached to this site.

The only third parties involved are the ones needed to run a business: Cloudflare as host, Microsoft as email provider, Cal.com for the booking calendar if you choose to load it, Brevo (Sendinblue SAS, France) for the Field Notes list if you subscribe, Unsplash for the images described in section 2, and our accountant and, where necessary, our lawyer or insurer. Each acts under contract and only as far as the work requires.

We may also disclose data where the law, a court or a supervisory authority requires it.

7How long we keep it

Correspondence that does not lead to an engagement: up to two years, so that we remember a conversation if you come back.

Engagement files and deliverables: ten years from the end of the engagement, which is the period over which professional liability can arise in Belgium.

A Field Notes subscription: as long as you stay subscribed, and up to twelve months after you unsubscribe, together with the record of your consent, so that you are not added back by mistake.

Invoices and accounting records: seven years, as Belgian law requires.

After that, data is deleted or anonymised.

8Your rights

You have the right to:

  • ask what personal data we hold about you and receive a copy;
  • have it corrected if it is wrong, or completed if it is incomplete;
  • have it deleted, where we have no overriding obligation to keep it;
  • restrict or object to our processing of it;
  • receive it in a portable form, where the processing rests on consent or a contract;
  • withdraw consent at any time, where consent is the basis.

If you are not satisfied with our answer you may complain to the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels – dataprotectionauthority.be.

9Security

The site is served over HTTPS only. Engagement material is held in access-controlled storage with two-factor authentication on the accounts that reach it.

No system is beyond compromise. If a breach ever affects your personal data and is likely to present a risk to you, we notify the supervisory authority within seventy-two hours and inform you directly where the law requires it.

10Changes to this policy

We may amend this policy. A change takes effect when it is published here, and the date at the top of the page changes with it. Superseded versions are available on request.
